An order form fixes most of this. It isn't glamorous, but it means you ask the same questions every time and nothing important lives only in your memory.

Ask customers to type the message themselves. You'll avoid most spelling disasters.
Policies to put at the bottom of the form
A form is also where you set expectations. Add three or four short lines, in plain words:
- Advance: Orders are confirmed after 50% advance. Custom fondant cakes need full payment.
- Changes: Design changes are possible up to 48 hours before the order date.
- Cancellation: Advances are non-refundable within 24 hours of the order date, because ingredients are already bought.
- Design: Handmade cakes may differ slightly from reference photos.
Adjust the hours and percentages to what works for you. The point is that the customer sees them before paying, not after something goes wrong.
Paper, Google Form or online menu?
Paper or notebook: fine at the counter for walk-in orders. Hard to search later.
Google Form: free and easy. Customers fill it in, answers go to a sheet. The downside is that it doesn't show prices or photos well, and customers still message you to ask what things cost.
An online cake menu: customers see photos and prices, pick their options, and the order arrives complete. This is the version that actually saves you time once you're getting more than a handful of orders a week.
